SUMMARY

The Data Reporting Specialist supports the institution’s effectiveness and outcomes by assisting the Executive Director of Institutional Effectiveness in analyzing, interpreting, and disseminating institutional information in support of institutional effectiveness, planning, policy formulation, and decision making. The Data Reporting Specialist partners closely with colleagues within and outside of the Office of Institutional on a variety of reporting projects, including responding to internal and external data requests and surveys, and federal and state compliance reporting.

 

MINIMUM QUALIFICATIONS

  • A Bachelor’s Degree in a related field.
  • Experience in data reporting and compliance; including Enterprise Resource Planning (ERP) and analytics hardware and software.

Preferred:

  • A Master’s degree in a related field.
  • Experience with managing data in a relational database (i.e. SQL).

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

LEADERSHIP

  1. Create and sustain a supportive College culture that engages employees, recognizes diversity, ensures equity, promotes inclusion, and creates a sense of belonging by fostering an environment of teamwork, accountability, communication and vision.
  2. Research, identify, and share market trends and best practice information with the Office of Institutional Effectiveness that address challenges/opportunities within the higher education landscape in order to identify possible strategic initiatives and potential resource investments aimed at improving the College’s programs and services.
  3. Provide employees the data support needed to inform decisions aimed at the attainment of the College’s strategic initiatives and program improvement.
  4. Maintain knowledge of trends, best practices, regulatory changes, and new technologies in IE; recommend changes in policy, practice, and implementation of strategic initiatives when participating on shared governance councils/teams.
  5. Advise the Executive Director of IE on matters relating to shared governance council/team participation.
  6. Represent the College at various community, civic, professional meetings, and conferences, as directed by the Executive Director of IE.

ADMINISTRATION/MANAGEMENT

  1. Ensure employees, external partners, and government agencies receive excellent customer service in all interactions with the Office of Institutional Effectiveness.
  2. Assist the Executive Director of IE with activities related to data governance including data security, data validation, report timelines, report documentation, and data definitions.
  3. Assist the Executive Director of IE with tracking and continuously improving key metrics/measures to assist with achieving strategic priorities; assess the need for new reports and support the creation and organization of them.
  4. Support the Executive Director of IE with internal data auditing; assist College employees with ensuring data and information are entered into the ERP or other tool(s) correctly and efficiently.
  5. Assist the Executive Director of IE with oversight of the third-party analytics/reporting program; manage and continuously improve the internal report dashboard.

ACCOUNTABILITY

  1. Follow the policies and procedures that ensure the security and confidentiality of student and employee records.
  2. Support the Executive Director of IE in responding to internal and external data requests, as well as marketing and ranking surveys for the College.
  3. Serve as the College’s IPEDS Keyholder, completing state, federal, and accreditation compliance processes and reports; assist the college auditors with needed reports and information.
  4. Assist the Executive Director of IE and grant project managers with grant reporting requirements.
  5. Promote an evidence-based culture of accountability which guides innovation, implementation of best practices, and continuous quality improvement of IE operations.

FISCAL

  1. Assist the Executive Director of IE with data support aimed at prioritizing budget allocations.
  2. Manage risk by monitoring conditions, events, and circumstances present through the performance of the essential functions of this job and advising the Executive Director of IE of areas of need.
  3. Manage risk by following proper policies and procedures to ensure data security and confidentiality and advising the Executive Director of IE of potential areas for improvement or possible breaches.
  4. Follow all policies and procedures used in emergency and/or crisis management situations.

OTHER

  1. Perform other related duties which may be required by the Executive Director of IE of (i.e. duties that may not be specifically listed in the class specification or position description, but are generally within the occupational series and responsibility level associated with the employee’s class of work).
  2. Work Monday thru Friday, during normal business hours; must be able to periodically work outside of normal work hours to meet project deadlines, and/or attend meetings designated by the Executive Director of Institutional Effectiveness.
